  • 1.  Google's Parental Consent Requirements

    Good afternoon everyone~

    I would love feedback on Google's latest parental consent requirements. My biggest question is, can we add to the list after the beginning of the year? I remember reading that we could not do this, but I feel like that language was redacted at some point. I can't find it anymore.

    I also feel like the language in Google's documents has changed slightly. I feel like I read a lot more "at the school's discretion" than what we saw in December. The way we are reading things is that legally speaking, schools could once consent on parents' behalf according to COPPA, but now Google is requiring in its TOS a proper consent form spelling out how we use their services that parents must sign and return. Different service levels, including Core, Additional, and 3rd party, have different parental notification requirements. I am looking to see how other schools interpret this to ensure we are on the right track.

    We make the privacy policies and terms of service for all third-party services available on our website - https://www.mka.org/techtools. This is outlined in our admissions contract, which we have used to handle the COPPA/consent requirements. 

    If Google has more significant requirements for various services, you could break each of them out in a more detailed sense. We include those tools used by our libraries as well. In short, we try to make anything that a student would use available on that page - https://www.mka.org/academics/11-technology/privacy-policies-and-tools.

    Can you provide some more detail about how it (terms of service) is outlined in your admissions contract?  I pursued it this year with our CFO and School Counsel prior to re-enrollment but think an actual example would be the most beneficial?

    We use this Parental Consent Form for Google Workspace for Education - this is included as a required "sign-off" with all the summer forms. This gives us blanket permission to enable Workspace apps, although we still only turn on apps upon request so that we continue to vet each. Honestly, in 6 months we may have received only ~5 requests. This lets us treat all as "over 18" - something we can do as an 9-12 only school - I doubt one could justify this for anything lower than 7th grade.

    Hi, Jason~ 

    During our admissions process, we have them sign a technology use policy and then we use a web page for parents on our internal school site - it's pretty wordy, but right now, it says that we use Google WorkSpace, and then it goes into a list of the Google apps they will use, and then this information regarding third-party apps: 

    Besides G Suite, we also maintain a list of resources teachers may elect to use with their students. Many of these websites use Google's SSO (Single Sign On), which makes it easier for students to complete assignments within the Google Classroom framework. The only personal student information stored and shared within our Google Workspace for Education platform are students' first names, last names, and grade levels. Other logins and passwords for these resources are shared with parents through ParentSquare at the beginning of the school year and inside students' Google classrooms.
