    Hello, Apple newbie here.

We have gotten 4 ipads that we need to run specific programs - Ruvna sign in, two to run Q-Assessments from Pearson, and one to work with a new audio soundboard.

I have never managed iPads before - what is best practice?

I have signed us up for Apple School Management (which was illuminating).

I don't know if they should have their own apple ID, which is the connection to the app store, or if I should empower the staff members who will be using them to use their own managed IDs?

If someone has an onboarding checklist and/or advice, I'd be very grateful!

By far, the easiest way to manage iPads is with Mobile device manager software. My personal preference for iPads is a program called Mosyle, but there are a lot of choices.

i have been managing iPads since 2011 and I am happy to talk with you and answer any questions you might have.

    Good Morning,

If you don't anticipate using more than 4 dedicated iPads, I'm not sure if you would need a MDM solution, as it might be more efficient to just use an Apple ID. I think you can use the same Apple ID to install apps on up to 10 devices (if there is even a limit). Therefore, you could create one managed Apple ID and sign in with that ID on the four iPads to install the apps you need.

However, if you are interested in using a MDM solution for iPads, I would recommend Jamf. Our school has been using Jamf for a long time and we have been very pleased. There is definitely a steep learning curve, but it allows you to push out applications without needing to use Apple IDs. You would need to connect Apple School Manager to your Jamf MDM account in order to push out the apps.

    I hope this helps!

I think it makes sense to use an MDM regardless of how few iPads you have.  It makes management a lot easier.  IIRC Mosyle has a free version if you don't have many iPads.  Like Brad, we are also using Jamf, but I've heard plenty of good things about Mosyle.  We had WorkspaceOne before Jamf and I would recommend you stay far, far away from that option.  Apple does have their own MDM solution but it must be run locally and it's pretty limited in functionality.  The device enrollment functionality of ASM allows you to auto-enroll in your MDM, and you can significantly streamline the setup process by disabling setup screens and just pushing the settings via the MDM, too.

You can "purchase" apps through ASM (I have "purchase" in quotes because you have to "purchase" free apps, it just won't charge you for them) and then use device-based assignment to push them to iPads without having to use an Apple ID.  We actually disable Apple ID sign-ins on almost all of our iPads, as there is no way to restrict them to Managed Apple IDs, and if someone signs into iCloud with a non-managed one and then leaves the school, you have to clear the activation lock before you can reset them.  It's possible to do this through some MDMs (once again, a reason to have MDMs) but it's easier to just disable Apple ID sign-in, especially for shared devices like you're talking about.

Apple's Education team is a great resource and they really support schools. Most of the informal questions and trainings are free. If you have an Apple rep, they also have a team of engineers and often former educators who can help you.

As James and Brad said, a mobile device management system (MDM) is going to be very helpful. I have a small number of iPads at home for my family, and I even run MDM with those. The MDM hooks into Apple School Manager and allows you to sidestep having Apple IDs on the iPads, allows you to push apps, settings, restrictions, and more.

You don't need a full MDM (mobile device management) suite for that number of devices, as the numbers wouldn't justify the cost. You can use Apple Configurator - https://support.apple.com/apple-configurator - and Apple School Manager to configure and deploy the iPads and associate apps. These are free tools and services provided and supported directly by Apple.

Also, Apple has regional system engineers who can offer help, services, and guidance free of charge.

Feel free to reach out with any questions!

While I agree that you don't "need" an MDM for this number of iPads, I would still recommend one.  I am pretty sure that JAMF still offers a free version of its software for a limited number of iPads.  You would certainly qualify.  This is a hosted solution and would not require you to do anything other than set it up.  Other companies would likely also offer free service for a limited number of iPads.  An MDM will give you a lot of flexibility, and there are things that they do that would be much tougher to do with Apple Configurator alone.  It just depends on exactly what you want to do and how "hands-off" you want to be.

The other thing is that, even if you can't find a free option that meets your needs, most MDMs charge per device.  The education pricing for Jamf Pro is $9 per iPad per year.  Spending $36 per year to manage four iPads won't exactly break the bank, and my understanding is that both Jamf School and Mosyle are even cheaper.

Jamf has a freebie version that has a limit of 3 devices, if you want to try that out without bothering with a sales team.

Another strong vote for Mosyle here! I've been using it for a while and have found it to be very user-friendly with excellent support. I also evaluated JAMF but was able to get Mosyle up and running much faster without the steep learning curve-just my personal experience.

One major advantage of using an MDM like Mosyle is the ability to manage iPads remotely without needing to physically handle each device. This also eliminates the need to tie them to individual Apple IDs, making transitions smoother in the event of employee changes.

I also agree with James-while an MDM isn't strictly required, it's always best to establish a solid foundation from the start. In other words, start as you mean to go on. If you plan to expand iPad usage in the future, managing multiple devices will be significantly easier with an MDM in place.
