    We are currently auditing the access roles and tasks within our SIS (Blackbaud) both from a system point of view to identify changes and employee access view to ensure efficiency and security.  As a side project, we are documenting and standardizing access by position title for greater consistency in onboarding.  I would be interested to hear how others approach access for the Division Head role in terms of attendance, conduct, academic schedule, enrollment, and grading access.  We currently have a principle of least privilege policy in place to govern our work.  While we use Blackbaud, I would welcome feedback from all platforms.

    We too are about to tackle roles and permissions in our systems, including BB, and I'd be interested if anyone has a matrix or best practices for custom roles in BB for each standard position in schools.

    Hi Lauren,  Good thought and thank you for the suggestion.  I've been added to or joined so many Blackbaud groups over the years, that they can blend into the background.  We have made a ton of progress on our mapping and documentation front.  We are also exploring how to increase use of the extensive reporting to supplement access requests.

    We also are a BB school and I need to tackle this project.  When we first started with Blackbaud, we were spending our time understanding the tool and rolling it out, and unfortunately we didn't dedicate more time on the roles.  Several years in, I finally understand the roles and what they mean, but it took a while to get here!  With that being said, I also plan to specify roles for certain faculty/staff but I simply haven't had the time.

    For now, folks fall into these main buckets:

    Teachers = teacher default roles
    Staff = non-teacher default roles
    Registrar & Deans = teacher rolls plus attendance & grading roles, conduct (Our deans work heavily with the conduct and attendance, so they have been trained to manage it with my supervision.)
    Division assistants = they are trained to make necessary changes and assist with a lot, currently the three of them are Platform Managers (but I should pull back their access.)

    I've given access to student/user lists to a lot of our staff and certain admin roles because I think these lists are so important for people to run quick & easy data lists.  I also assign find me now to the majority because we know there are times that faculty or staff need to find specific people.  


    This is a quick overview just touching on the surface of how we're set up and a reminder that I do need to review.
